Operational Transformation.

We redesign how universities run, then build the technology that sustains the change.

The Problem

Most university operations run on processes designed for a different era. Manual workflows, paper-based approvals, spreadsheets passed by email, and disconnected systems that require staff to re-enter the same data three or four times before a transaction is complete. The cost shows up as administrative burden on faculty, attrition in research staff, compliance risk, and a steady rise in indirect costs that funders and tuition cannot absorb.

Process change inside universities is difficult for structural reasons. Governance is distributed. Stakeholders are protected by faculty governance, union contracts, and institutional autonomy. Recommendations alone rarely produce change because the underlying systems and workflows continue to drive day-to-day behavior.

Mireo redesigns operations and builds the technology that operationalizes the redesign in a single engagement. The change runs on a platform, an automation, a dashboard, or a workflow tool. It is deployed and running, not pending implementation.

Typical Timeline

8 to 24 weeks depending on scope

What We Design

We map current state, define future state, and design the operational change in detail:

  • Process mapping and redesign — current workflows, future workflows, gap analysis, change roadmap.
  • Role and decision rights — who does what, where decisions are made, how exceptions are handled.
  • Performance frameworks — KPIs, baselines, targets, reporting cadence.
  • Change management — stakeholder engagement, communication, training, adoption tracking.
  • Governance — ongoing oversight, continuous improvement, course correction.

What We Build

We deploy the technology that operationalizes the redesigned operation:

  • Workflow automation — Power Automate flows that route requests, trigger approvals, and eliminate manual handoffs.
  • Performance dashboards — Power BI dashboards that surface KPIs for leadership and operational managers.
  • Process applications — Power Apps that replace forms, spreadsheets, and email-based workflows.
  • System integration — connections between research administration systems, financial systems, HR, and the new operational tools.
  • Document management — SharePoint structures for policies, procedures, training, and operational documentation.

Where We Apply It

Operational areas we transform:

  • Research administration and grants management
  • Research compliance and regulatory operations
  • Faculty affairs and academic administration
  • Central administrative operations (finance, HR, procurement)
  • Student services and academic support operations
  • Advancement and development operations
  • Institutional research and reporting
  • Cross-functional service delivery models

How We Deliver

Every Operational Transformation engagement runs on the Mireo Delivery System.

  • Design — Current state assessment, future state design, technology selection, change roadmap.
  • Build — Process redesign, technology configuration and deployment, training, performance dashboard launch.
  • Improve — Performance measurement, ongoing optimization, expansion to adjacent processes, continuous improvement.

Timeline

Operational Transformation engagements vary by scope. Focused process redesigns typically run 8 to 14 weeks. Department-wide transformations run 14 to 24 weeks. Enterprise-level operational redesign runs longer and follows a phased approach.

We scope the timeline in the Design stage and hold to it.

Success Metrics

Operational Transformation success is measured in operational performance. Common metrics include cycle time reduction, error rate reduction, throughput improvement, cost reduction, staff time savings, and adoption rates.

Every engagement baselines metrics at start and reports against baseline throughout.
